Talented Executive Assistant

BMS is seeking a talented Executive Assistant to provide administrative and project support to the Access, Policy & Advocacy department (APA). The Access, Policy & Advocacy (APA) team performs a crucial role in engaging with government and other public health authorities to enable patients in Australia access vital medicines for the treatment of rare and life threatening diseases. In this role you will be expected to utilise your project management, administration and organisation skills to drive excellence.

Responsibilities include:

  • Liaises with internal stakeholders to understand and deliver to requirements

  • Works with Global Purchasing, compliance and APA team members to support and track projects for the department

  • Provide support to the Market Access team formatting major government and pricing submissions throughout the year

  • Organise and execute (logistics and planning) small internal meetings

  • Advanced IT skills and knowledge of software applications to provide admin support including financial administration (purchase orders, contract management, internal pricing maintenance and invoice reconciliation)

  • Process Department of Health rebate requests via SAP (monitor approval and payment process)

  • Provide support to Director APA to manage calendar, expenses and travel

  • Ability to support multiple administration tasks for APA team to enable the team to manage core functions efficiently

  • Support the Public Affairs function with internal & external administration and communication tasks as required

  • Support manager with the effective on-boarding of new staff

  • General administration duties including ordering, mailing and printing

  • Works in a highly collaborative and compliant manner

Essential Experiences, Skills & Qualifications:

  • Minimum of 2 years administration/project management experience, preferably in a fast paced global corporate organisation

  • Demonstrable ability to effectively communicate key information

  • Proficiency in project management

  • Strong administration skills

  • User knowledge of finance systems processes e.g. Concur, SAP, Ariba

  • Understanding of pharma compliance guidelines desired

  • Proficiency in Word 2013 formatting, particularly large documents

  • Demonstrable record of collaboration and working with passion, accountability and speed
